Publishing a book costs more than most companies will tell you upfront. We built this checklist because we believe you deserve to know every line item before you sign anything — not after. These are the fees that routinely blindside first-time authors.
Editorial
Overage editing charges
Many editors quote a flat rate then bill per word over a threshold. A 90,000-word manuscript quoted at 80,000 words can add $200–$500 in overages.
Proofreading billed separately
Developmental editing, copy editing, and proofreading are three distinct services. Most quotes include only one. Expect $0.01–$0.02/word for each additional pass.
Rush fees
Need edits back in under two weeks? Most editors charge 25–50% on top of their standard rate for expedited turnaround.
Cover Design
Spine and back cover billed separately
A common bait: the quoted price covers only the front cover. Full wraparound design for print adds $150–$400 at many studios.
Stock image licensing
If your designer uses licensed stock photography, you may owe a separate licensing fee — or find your cover pulled if the license lapses.
Revision overages
Most design contracts include 2–3 revision rounds. Additional rounds are billed at $50–$150 each. Subjective feedback ('make it pop more') burns rounds fast.
Formatting & Interior
Separate ebook and print formatting
Print (PDF) and ebook (EPUB/MOBI) are different file formats requiring different work. Many quotes cover only one. Budget $150–$300 for the second format.
Complex layout surcharges
Charts, tables, footnotes, poetry, or bilingual text add formatting time. Expect surcharges of $50–$200 depending on complexity.
Revision after author changes
If you make edits to your manuscript after formatting has begun, reformatting is typically billed at an hourly rate.
Publishing & Distribution
IngramSpark title setup fee
IngramSpark charges $49 per title for setup (print + ebook). Some publishers pass this through; others absorb it. Always ask.
ISBN purchase
A single ISBN from Bowker costs $125. A block of 10 costs $295. Some publishers assign their own ISBN — meaning they, not you, are the publisher of record.
Copyright registration
US Copyright Office registration costs $65 for a single work filed online. It is optional but strongly recommended for legal protection.
Expanded distribution fees
Wide distribution through brick-and-mortar channels (Ingram, Baker & Taylor) may carry annual fees or higher wholesale discount requirements that reduce your royalty.
Print & Author Copies
Author copy markup
Some publishers add a 20–40% markup on author copies above the print cost. Always ask for the actual print cost per unit, not just the 'author price.'
Proof copy requirement
Most print-on-demand platforms require you to order and approve a physical proof before going live. Budget $15–$30 plus shipping.
Shipping and import duties
Author copies shipped internationally may incur customs duties and brokerage fees that can equal or exceed the cost of the books themselves.
Why we publish this list
At Otic Press, every fee we charge is listed on our pricing calculator before you submit a quote. We built this checklist because we believe the entire industry should work this way — and because authors who know what to ask for make better decisions. If you have questions about any of these fees, email us at hello@oticpress.com.
